Job title: Implementation Manager

Summary of position: The Implementation Manager (IM) is accountable for implementation of the client solution and successful execution of the Statement of Work and contract through solution launch. The IM is accountable for keeping the implementation project on track, on time, on budget and to agreed-upon specifications. When leading a project, the IM is accountable for managing a master project plan to coordinate the work of other Implementation Managers.
Requirements:
Minimum of Bachelor's degree
Minimum 5 years experience in client relationship management, higher education, secondary education or related field
Thorough understanding of higher education industry
Knowledge of admissions process or financial aid process is helpful
Basic understanding of electronic data interchange, Internet technology, software development, data base design, and database management is very helpful
Outstanding verbal and written communication skills
Proven ability to structure, sequence and prioritize ongoing and project-oriented work, schedule team members, allocate resources, and manage individual and team efforts to accomplish required tasks, within budget, on time and consistent with quality requirements
Proven ability to collect critical cost and work progress information and use these data to make decisions about resource allocation, type of supervision or oversight required, and modifications to the organization of work
Proven ability to translate competing project demands into actionable goals and tasks, which allow for optimum progress against all priorities, within the limits of available time, personnel and resources
Proven ability to set and communicate clear, specific goals related to project execution
Thorough understanding of the methods, techniques, practices and procedures that constitute "best practices" in the area of project management and product implementation
Ability to identify client needs and expectations and make decisions based on client and market information, consistent with company market and product strategies
Thorough understanding of solutions offered by Xap
Ability to deliver products and services that best meet client needs, consistent with Xap's market and product strategies
Ability to deal effectively with individual clients to set and manage client expectations consistent with Xap's goals and objective, to strengthen client-company relationships, and to increase client satisfaction and retention
Proven ability to design and deliver formal presentations to a variety of audiences, including high level management
Proven ability to lead teams in ways that ensure attainment of goals
Proficient using common software tools such as CRM software, project management software, calendaring system and web-based conferencing tools
Demonstrated reliability and follow-through
Accuracy, thoroughness and attention to detail
Demonstrated ability to effectively manage meetings
Strong sense of personal accountability
Ability to thrive in a teamwork environment
Develop thorough understanding of Xap's policies and processes, market and solution strategies
Responsibilities:
Establish implementation project plan, including timeline, accountability, and milestone targets
Establish and implement project communication plan to keep all team members and other stakeholders informed of implementation project progress
Manage day-to-day tasks and provide direction to team members performing work on the implementation project
Review regularly the project status, comparing budgeted/planned to actual values
Review regularly the project schedule, comparing baseline schedules to actual work completed
Ensure that the project plan is updated and signed-off on as needed
Update budgets and schedules and makes recommendations for change as needed
Review the results of quality assurance reviews
Participate in analysis and approval of product/project changes
Review project risks and establishes mitigation procedures
Develop an action plan for any product deficiencies, open issues, etc.
Obtain customer and management approval of completed project
Close-out open action items
Track and update project budget
Conduct debriefing meeting at the conclusion of the project
Capture and document project successes, challenges and lessons learned
Assist as needed with any post-project delivery audits
Assist Administrative personnel with contract fulfillment
Archive all project data
Act as a resource to Client Success Leader(s) in managing ongoing client relationship and resolving client concerns or problems
As Team Lead, oversee and coordinate the work of other Implementation Managers working on part of the solution implementation
As Team Lead, work with other team members to set goals, resolve problems, make sound decisions and achieve project objectives
